SugarAI or Microsoft Dynamics 365: which CRM is right for you?

SugarAI or Dynamics 365? The key differences and the questions to settle before you decide.

Anyone looking for a new CRM today almost always ends up with two names: SugarAI, until recently known as SugarCRM, and Microsoft Dynamics 365. Both systems can cover sales, marketing and service. Even so, they suit very different companies. We have been implementing both systems for years and show here what really matters when making the decision.

The short answer

  • SugarAI is the right fit if you want a CRM that can be closely tailored to your sales processes, if data sovereignty is important (it can also run on-premise or in a German cloud) and if you do not work entirely in the Microsoft world.
  • Dynamics 365 is the right fit if your company already relies heavily on Microsoft 365, Teams and Azure and you want to get CRM, ERP and reporting from a single source as far as possible.

So the decision depends less on individual features than on your system landscape and on how your sales team works.

Where the differences lie

  • Customisability: SugarAI can be adapted very extensively to your own processes without programming: fields, modules, layouts and workflows. Dynamics 365 is also flexible, but uses the Power Platform for this, which requires more planning around the licensing model.
  • Integration: Dynamics 365 plays to its strengths in Outlook, Teams and Excel. SugarAI also connects to Microsoft 365 and, thanks to open interfaces, integrates well with ERP, marketing tools and your own applications.
  • Operations and data protection: SugarAI is available as a cloud version and for your own server. Dynamics 365 runs in the Microsoft Cloud, with data centres in the EU.
  • AI in everyday sales: Both vendors build AI features directly into the CRM, for example summaries, forecasts and suggestions for the next step. What matters most here is less the feature itself than the quality of the data in the system.
  • Licences: Both vendors license per user per month in several editions. With Dynamics 365, further modules and Power Platform licences are added depending on requirements. An honest comparison is therefore only worthwhile once your specific requirements are known.

The questions we ask in the initial consultation

Before we recommend a system, we clarify a few points. You can also go through them internally beforehand:

  • System landscape: Which systems are fixed, which ERP is running, how heavily do you use Microsoft 365?
  • Sales process: How does an order currently get from first contact to invoice? Where is information lost?
  • Users: Who works in the CRM every day, and who only looks at reports? Lack of acceptance in sales is the most common reason CRM projects fail.
  • Data: Where is customer data held today: in Excel, in the old CRM, in the ERP? How clean is it?
  • Operations: Cloud or your own server? Who takes care of updates and customisations after go-live?

Common mistakes when choosing a CRM

  • Comparing feature lists: Both systems can do almost everything. What matters more is how quickly your team becomes productive with it.
  • Migrating old data without checking it: A new CRM full of old duplicates will be used just as little as the old one.
  • Not involving sales early: Those who use the system every day should have a say in the selection.

Our conclusion

There is no better CRM, only one that fits better. As a SugarAI implementation partner and Microsoft Partner, we are not tied to one system and recommend whatever suits your processes. Sometimes that even means recommending that you set up your existing system better instead of buying a new one.
